Effective Date: October 23, 2026
Welcome to Austin Silent Disco!
These Terms & Conditions govern the use of www.austinsilentdisco.com and the booking, rental, and provision of services by Austin Silent Disco LLC (“Austin Silent Disco,” “we,” “us,” or “our”).
By using our website, you agree to the website-related provisions of these Terms. When you accept a rental quote or booking agreement that incorporates these Terms, you also agree to the applicable rental and event service provisions.
1. Our Services
Austin Silent Disco provides entertainment equipment and event production services, including:
- Wireless silent disco headphone rentals and multi-channel audio transmitters.
- DIY silent disco rental packages.
- Local customer pickup and return options.
- Equipment delivery, setup, breakdown, and pickup.
- Regional and nationwide equipment shipping.
- Professional DJ and entertainment services.
- Event lighting, staging, audio equipment, and production services.
- Corporate activations, weddings, school events, private parties, festivals, and wellness experiences.
Services and equipment are subject to availability and the terms of the customer’s confirmed booking.
2. Reservations and Booking Confirmation
Submitting an inquiry or requesting a quote does not automatically reserve equipment or services.
Bookings are confirmed after Austin Silent Disco accepts the reservation and the customer completes any required payment, deposit, or other agreed booking requirements.
Unless otherwise agreed in writing, a deposit of 50% may be required to secure a reservation.
A confirmed quote, invoice, or separate rental agreement will specify applicable equipment quantities, services, dates, locations, and charges.
If the terms of a separately executed agreement conflict with these general Terms & Conditions, the specific executed agreement will control for that booking.
3. Pricing and Payments
Pricing varies according to rental quantities, rental duration, event location, staffing, transportation, production requirements, and other event-specific needs.
All prices are quoted in U.S. dollars unless otherwise indicated.
Applicable sales taxes, delivery charges, shipping fees, and additional services will be identified in the customer’s quote or invoice.
Customers are responsible for paying the agreed balance according to the payment schedule in their booking confirmation.
Additional equipment or services requested after confirmation may result in additional charges, which will be communicated for approval.
4. Cancellations and Rescheduling
We understand that event plans sometimes change.
Customers are requested to provide at least 48 hours’ notice of cancellation or major scheduling changes whenever possible.
Refunds, deposit treatment, and cancellation charges are governed by the terms disclosed in the customer’s accepted quote, invoice, or rental agreement before booking.
Cancellations within 48 hours of an event may result in charges for reserved inventory, scheduled personnel, transportation, or other committed costs, as specified in the booking agreement.
Rescheduling requests are subject to equipment and personnel availability.
We may offer additional flexibility for school, nonprofit, faith-based, or other community events when circumstances reasonably permit.
No provision of this section limits any non-waivable refund rights under applicable law.
5. Equipment Rental Responsibilities
All rented equipment remains the property of Austin Silent Disco unless expressly sold to the customer.
Customers agree to:
- Use equipment according to the supplied instructions.
- Keep equipment reasonably protected from moisture, extreme heat, theft, and misuse.
- Prevent unnecessary damage to headphones, transmitters, charging systems, and accessories.
- Notify our team promptly of technical problems, lost items, or damaged equipment.
- Return all rented equipment and accessories by the agreed return deadline.
- Avoid unauthorized modifications, repairs, or disassembly.
Normal wear and tear from proper use is expected and is not considered damage.
Customers may be responsible for reasonable, documented repair or replacement costs resulting from loss, theft, negligence, or misuse while equipment is in their custody, subject to their rental agreement and applicable law.
Additional fees for missing equipment or late returns, if applicable, will be disclosed in the rental agreement.
6. Customer Pickup, Delivery, and Shipping
Austin Silent Disco offers different fulfillment options depending on the reservation.
Customer Pickup: Customers who select pickup are responsible for collecting and returning equipment at the agreed locations and times. An authorized representative may complete pickup or return arrangements with prior coordination.
Local Delivery: Delivery, setup, breakdown, and collection are provided only when included in the confirmed package or purchased as additional services.
Shipping: Orders shipped outside our local service area must follow the shipping and return instructions provided with the rental. Customers are responsible for using the designated return procedure and notifying us of delivery or transit problems.
Pickup, delivery, shipping, and service options are separate and may carry different charges.
Rental equipment must be returned with the supplied components and packaging as instructed.
7. DIY Rentals and Technical Support
Our DIY packages are designed to be straightforward to operate.
Equipment is prepared, tested, and charged before the rental. Instructions are provided to help customers connect audio sources, operate transmitters, and use available listening channels.
Customers are responsible for supplying compatible music devices, playlists, and internet access where required unless these items are included in their package.
We provide reasonable technical support to assist with setup or equipment troubleshooting.
Technical performance can be affected by environmental interference, device compatibility, internet connectivity, or conditions outside our control.
Customers should notify us as soon as possible if equipment is not functioning correctly so we have an opportunity to troubleshoot or provide an appropriate remedy.
8. DJs, Staffing, and Event Production
When Austin Silent Disco provides DJs, lighting, staging, audiovisual services, or event staff, the included services and performance times will be specified in the confirmed booking.
Customers agree to provide reasonable access to event locations, a safe working environment, and any agreed electrical or venue requirements.
Additional event time, equipment, personnel, or production changes may incur additional charges with customer approval.
Services may be adjusted when necessary to comply with safety requirements, venue rules, or applicable laws.
9. Event Safety and Venue Requirements
The event organizer is responsible for general event supervision, guest behavior, and obtaining required venue approvals or permits unless otherwise agreed in writing.
Customers are responsible for following applicable occupancy limits, fire regulations, venue policies, and local ordinances.
Headphone volume should be maintained at safe listening levels. Parents, guardians, teachers, or event supervisors are responsible for appropriate supervision of minors.
Customers should provide a reasonably safe environment for equipment installation and operation.
Austin Silent Disco reserves the right to suspend unsafe equipment operation or services when a significant safety concern arises.
10. Music and Intellectual Property
Customers who supply their own music or playlists are responsible for having the rights and permissions necessary for their intended use.
Public events may require appropriate music performance licenses or venue authorization.
Unless expressly agreed otherwise, the event organizer is responsible for securing applicable event licenses and permissions.
Website content, graphics, branding, photographs, and other original materials belonging to Austin Silent Disco may not be reproduced or used commercially without permission.
11. Event Photography and Promotional Use
Austin Silent Disco occasionally documents events through photography or video to demonstrate its services and event production capabilities.
Use of identifiable individuals’ images for promotional purposes is subject to applicable law, contractual restrictions, and any required permissions or releases.
Special privacy requirements may apply to schools, children, private events, and corporate clients.
Booking Austin Silent Disco does not automatically grant unrestricted promotional rights to customer logos, confidential event information, or images of event attendees.
12. Weather and Unforeseen Circumstances
Outdoor events may be affected by weather, venue closures, transportation disruptions, emergencies, or other circumstances beyond the reasonable control of either party.
If circumstances make performance unsafe or impracticable, both parties will make reasonable efforts to discuss alternative arrangements, including rescheduling when feasible.
Refunds, credits, or additional costs in these circumstances will be determined by the applicable booking agreement and law.
Neither party will be responsible for a failure or delay caused by circumstances beyond its reasonable control, except for payment obligations already due and other obligations that cannot legally be excused.
13. Liability and Limitations
Austin Silent Disco takes reasonable steps to maintain its equipment and provide services professionally.
To the maximum extent permitted by applicable law, Austin Silent Disco will not be responsible for indirect, incidental, special, or consequential damages arising from use of its website, equipment, or services.
To the maximum extent permitted by law, our aggregate liability for claims arising from a specific booking will not exceed the total amount paid to Austin Silent Disco for that booking.
These limitations do not apply to liability that cannot lawfully be excluded or limited, including liability for gross negligence, willful misconduct, or other claims to the extent applicable law prohibits such limitations.
Nothing in these Terms limits non-waivable consumer rights or legal remedies.
14. Customer Responsibility for Third-Party Claims
To the extent permitted by law, customers are responsible for claims or losses caused by their negligent or unlawful use of rented equipment, violations of applicable law, or failure to comply with agreed event safety requirements.
Customers agree to reimburse Austin Silent Disco for reasonable losses arising from such conduct to the extent the customer is legally responsible.
This provision does not require customers to assume responsibility for Austin Silent Disco’s own negligence or misconduct.
15. Website Information and Availability
We make reasonable efforts to keep website descriptions, pricing examples, and service information accurate.
General estimates, photographs, package descriptions, and website information do not constitute guaranteed availability or a binding offer.
Final pricing and equipment availability are confirmed through an accepted quote or booking agreement.
We may update or modify website information as our equipment, inventory, services, and business operations evolve.
16. Governing Law
These Terms & Conditions are governed by the laws of the State of Texas, without limiting mandatory rights that may apply under other applicable consumer protection laws.
The parties agree to make reasonable efforts to resolve disputes through direct communication before pursuing formal legal remedies.
17. Changes to These Terms
Austin Silent Disco may revise these Terms & Conditions periodically.
Updated versions will be published on our website with a revised effective date.
Changes will not retroactively alter an existing confirmed booking unless agreed by the parties or otherwise permitted by applicable law.
